The Meeting Room Booking module allows your team to reserve meeting rooms directly in Dibsido. Whether you manage a single conference room or dozens of meeting spaces across multiple offices, Dibsido provides the tools to keep room bookings organized, fair, and efficient.
There are two ways to add meeting rooms to Dibsido, depending on whether your company uses an external calendar system.
1. Import from Google or Microsoft Outlook
If your organization uses Google Workspace or Microsoft Outlook, you can import your existing meeting rooms directly into Dibsido. Once connected, events created in the external calendar will automatically appear in Dibsido, keeping both systems in sync.
Microsoft Outlook: Connect your Outlook calendar and Dibsido will pair your Outlook room resources with meeting rooms in the app.
Google Workspace: Dibsido works with a butler account that handles the synchronization between Google Calendar and your meeting rooms in Dibsido.
2. Create rooms manually
If you do not use an external calendar or prefer to manage rooms independently, you can create meeting rooms manually in Dibsido. This approach works without any external integration and gives you full control over your room setup.
Interactive floorplans
Upload your office floorplan and place meeting rooms on the map, so employees can visually find and book the right room.
Calendar views
Employees can browse room availability in a calendar view, making it easy to find an open slot and create a reservation.
Booking timeframe
Control how far in advance employees can create meeting room reservations. The timeframe can be set from one week up to six months, depending on your organization's needs.
Repeating booking limit
Allow employees to create recurring meeting room reservations within a defined period. The repeating booking limit works in combination with the booking timeframe and can be configured separately, for example allowing repeating bookings for up to two weeks even if the general timeframe is longer.
Booking duration and schedule
Configure the start and end times for bookings, decide whether weekends are available for reservations, and set which day of the week new booking slots open up.
Booking rules
Define who has priority access to certain rooms or restrict which days specific groups of employees can book particular rooms. Booking rules help ensure that meeting spaces are distributed fairly across your organization.
Check-in and check-out
Require employees to confirm their reservation within a specific time window. If a reservation is not confirmed, it can be automatically cancelled, freeing up the room for others. Check-in can also work with QR codes placed at the meeting room for physical confirmation.
Booking reminder
Automatically send employees an email the day before their meeting room reservation, reminding them about their upcoming booking.
Reminder to book
Send recurring emails (weekly, bi-weekly, or monthly) encouraging employees to book their meeting rooms in advance, helping teams plan ahead.
Monthly booking limit
Control meeting room usage with a credit-based system. You define how many credits each employee receives per month and how many credits each reservation costs based on its duration. For example, you can set 30 minutes as one credit, so a one-hour meeting costs two credits. Once an employee runs out of credits, they cannot book additional rooms until the next month.
